PBX Feature Guide

On this page you will find guides for the most commonly used features of our hosted PBX services. Please contact Technical Support if you need assistance or cannot find the information you are after.

If your handsets were not supplied by OntheNet the feature codes, buttons or softkeys may not function exactly as described below.

To setup a conference call between three parties.

Yealink or Polycom Handsets

Method 1:

  1. While on a call, press the Conference softkey (or Conf, Confrnc).  This will put the called party on hold.
  2. Dial the extension or phone number of the third party you wish to join the call.
  3. Once the third party has answered, press the Conference softkey (or Conf, Confrnc) to join all parties into a single call.

Method 2:

  1. While on a call, press the Hold softkey to put the current party on hold.
  2. Press the New Call softkey and dial the extension or phone number of the third party you wish to join the call.
  3. Once the third party has answered, press the Conference softkey to join all parties into a single call.

When you are finished, simply hang up to end the conference call or press the Split softkey which will split the conference into individual calls and put them both on hold.

Blacklisting a number will prevent anyone that is using that number as their caller ID from ringing your PBX. This is a system-wide feature ie. you cannot block a number calling just one of your extensions.

Yealink or Polycom Handsets

Dial the feature code and follow the prompts.

Softphones or Other Handsets

Dial the feature code and follow the prompts.

There are three options for call forwarding;

  • Always / All (unconditional) – Forwards all calls regardless of the extension state.
  • Busy – Forwards calls when the extension is on a call, or set to Do Not Disturb (DND).
  • No Answer / Unavailable – Forwards calls when the phone rings out or is unavailable (eg unregistered).

Yealink Handsets

OptionDescription
Enable
  1. Press the Menu softkey.
  2. Select Features and press OK or Enter.
  3. Select Call Forward and press OK or Enter.
  4. Choose the forwarding condition; Always, Busy or No Answer and press OK or Enter.
  5. Using the left/right arrow keys, change Always Forward to Enabled.
  6. Select Forward To and enter the phone number you wish to forward calls to.
  7. Press Save.
Disable
  1. Press the Menu softkey.
  2. Select Features and press OK or Enter.
  3. Select Call Forward and press OK or Enter.
  4. Choose the forwarding condition you wish to remove, and press OK or Enter.
  5. Using the left/right arrow keys, change Always Forwarding to Disabled.
  6. Press Save.

 

Polycom Handsets

OptionDescription
EnablePress the Forward softkey, select the desired forwarding option, enter the number that calls are to be forwarded to and then press the Enable softkey.
DisablePress the Forward softkey, select the activated forwarding option and then press the Disable softkey.

Note: For Polycom IP335 the Forward softkey is found in Menu > Features > Forwarding.

Yealink Handsets

OptionDescription
Park a call
  1. While on a call, press the More softkey.
  2. Press the Park softkey.
  3. The parking lot number will be read back.
Pickup a parked call
  • Go to any extension and dial the parking lot number.
    or
  • Lift the handset and press the More softkey. Then press the Retrieve softkey to pickup your most recent parked call.

 

Polycom Handsets

Park a callPress the Park softkey and then the system will read back the extension number where the call is now parked.
Pickup a parked callDial the extension number of the parked call.

 

Softphones or Other Handsets

Dial the feature code and follow the prompts.

There are two options for transferring calls.

  • Attended Transfer – allows you to speak with the person you are transferring the call to before you transfer the call.
  • Blind Transfer – the call will be transferred without you speaking to the person you are transferring it to.

Yealink Handsets

  1. While on a call, press the Transfer softkey.
  2. Dial the extension that you’d like to transfer the call to.
  3. Let the other party answer the call, then press the Transfer softkey to complete the transfer.
Blind Transfer
  1. While on a call, press the Transfer softkey.
  2. Dial the extension that you’d like to transfer the call to.
  3. While the call is ringing, press the Transfer softkey to complete the blind transfer.

 

Polycom Handsets

  1. Press the Transfer softkey.
  2. Dial the extension that is to receive the call.
  3. Let the other party answer the call, then press the Transfer softkey to complete the transfer.
Blind Transfer
  1. Press the Transfer softkey and then the Blind softkey.
  2. Dial the extension that is to receive the call.
  3. Press the Transfer softkey to complete the transfer.

 

Softphones or Other Handsets

Dial the feature code and follow the prompts.

Pickup a call that is ringing on another extension.

Yealink Handsets

  1. Lift the handset, and press the More softkey.
  2. Press the DPickup softkey.
  3. Enter the number of the ringing extension.

Polycom Handsets, Softphones or Other Handsets

  • Dial ** followed by the extension you wish to pickup eg **1001 to pickup a call ringing on extension 1001.

The Do Not Disturb (DND) feature sets the extension to unavailable so that inbound calls are treated as if the extension is busy.

Yealink Handsets

Polycom Handsets

OptionDescription
Enable or DisableThe handset will display a notification in the status bar when DND is enabled.

  • IP335 or IP450 – press the Menu button, select Features and then Do Not Disturb to enable or disable.
  • IP670 – press the DND button to enable or disable.

Allows anyone in the pickup group to pickup a call that is ringing on another extension.

Yealink or Polycom Handsets

  • Lift your handset and press the GPickup softkey.

Softphones or Other Handsets

  • Dial *8#

Yealink or Polycom Handsets

Use Intercom*80Lift the handset and dial *80 in front of the extension you wish to intercom. For example to intercom extension 1001 dial *801001.
Allow*54Dial *54 to allow all extensions to intercom you.

Deny*55Dial *55 to deny all extensions the ability to intercom you.
Dial *55[EXTN] to explicitly deny only certain extensions to intercom you. For example to deny extension 1001 dial *541001.

Yealink or Polycom Handsets

Send Page
  1. Lift the handset
  2. Press the Page key.
  3. Wait for the beep then make the announcement.
  4. Hang up when finished.

The following information is for traditional voicemail accessed via the handset. If you have chosen voicemail to email the messages cannot be accessed via a handset.

Yealink or Polycom Handsets

To check messages or setup mailbox options dial the feature code and follow the prompts.

Group Mailbox*98You will be prompted to enter the mailbox ID (extension number) for the mailbox you wish to access and then you will be asked for that mailbox’s PIN. Note: This can also be dialled as *98[mailbox ID] and then you will only be prompted for the PIN.

To check messages or setup mailbox options dial the feature code and follow the prompts.
